ROLE SUMMARY

Our client is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to the Chief Executive Officer and executive team. This role requires strong judgment, exceptional communication skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is a problem-solver, relationship builder, and trusted partner who ensures that executives operate efficiently and effectively.

 

WORK SCHEDULE: 9:00 PM – 6:00 AM Philippine Standard Time

POSITION TYPE: Full Time

 

WORK ARRANGEMENT: Remote

 

ESSENTIAL FUNCTIONS:

  • Manage the Chief Executive Officer’s calendar, schedule meetings, and coordinate travel arrangements for the CEO
  • Prepare meeting agendas, presentations, reports, review meeting notes, and ensure action items are tracked
  • Handle confidential information with discretion and professionalism
  • Review email inbox, sort, and respond to emails as needed
  • Conduct a weekly touchpoint meeting with the CEO, ensuring tasks are on track and looking ahead to ensure travel and calendar are well organized and planned
  • Act as a liaison between the executive team and internal/external stakeholders
  • Track key deliverables, deadlines, and action items to ensure timely follow-up
  • Support project management, event planning, and special initiatives as needed
  • Assist with internal communications, documentation, and operational workflows

 

QUALIFICATIONS:

  • Bachelor’s degree preferred but not required
  • 3+ years of experience supporting senior executives, preferably in a fast-paced or growth-focused organization
  • Proficiency with productivity tools (e.g., Microsoft 365, Excel, Webex, project management tools)
  • Strong organizational, time management, and problem-solving skills
  • Excellent written and verbal communication abilities
  • High level of integrity and ability to maintain confidentiality
  • Analytical skills with particular attention to detail
  • Aptitude in data management, analytics, and reporting preparation
  • Ability to function in an autonomous environment—independent worker, self-directed
