ROLE SUMMARY

Our client is looking for a Virtual Assistant who will provide comprehensive administrative, organizational, and operational support remotely to one client with multiple stakeholders (Coaches), based in the United States. This role demands exceptional multitasking skills, a high level of organization, and the ability to work efficiently in a fast-paced environment. The ideal candidate will be proactive, detail-oriented, and adept at managing a diverse range of tasks.

 

WORK SCHEDULE: 8:00 AM – 5:00 PM Mountain Daylight Time (10:00 PM – 7:00 AM Philippine Standard Time), follows Philippine holidays

 

POSITION TYPE: Full Time

 

WORK ARRANGEMENT: Remote

 

ESSENTIAL FUNCTIONS:

  • Email Management: Manage and organize emails, including ESC2 database mining and sending nurturing emails
  • Scheduling: Schedule and coordinate meetings, appointments, and occasional travel arrangements, ensuring efficient time management.
  • Document Management: Prepare and organize documents such as reports, memos, and other office files
  • Research: Conduct resume sourcing and mining, adding new customer records to ESC2, and suggest local networking or other groups.
  • Social Media: Responsible for content creation, scheduling, posting,  audience engagement, and tracking
  • Customer Relationship Management: Provide client support by managing inquiries and feedback and resolving occasional issues in a timely fashion, including tracking opportunities in CRMs and necessary follow-through
  • Administrative Support: Provide administrative assistance, including basic accounting tasks, conducting territory checks, and preparing and sending customer contracts and funding/affiliate referrals
  • Special Projects/Project Management: Assist in the preparation of regularly scheduled reports and coordinating projects, and supporting delivery

QUALIFICATIONS:

  • Bachelor’s degree preferred, but not required; a high school diploma required
  • Experience as a virtual assistant or remote assistant role
  • At least one year of experience in lead generation and/or appointment setting for international clients
  • Ability to qualify and prioritize leads effectively
  • Strong computer aptitude, which includes experience with Microsoft 365, G-Suite, Canva, Zoom, Dropbox, Asana, Calendly, Doodle, Skype, Slack, Trello, Adobe Acrobat, LastPass, LinkedIn, CRM experience, experience with AI and automation tools
  • Strong organization, oral and written communication skills
  • Analytical skills with particular attention to detail
  • Aptitude in data management, analytics, and reporting preparation
  • Ability to function in an autonomous environment—independent worker, self-directed
  • Highly flexible and adaptable, with proven ability to report and collaborate effectively with multiple coaches, adjusting to varying communication styles and priorities
