The Role:

We’re seeking an Executive Assistant. This role is designed for a proactive, highly organized professional who thrives in a remote environment and excels at executive-level support.

You’ll play a key role in managing executive operations, optimizing workflows, and ensuring seamless communication between the CEO and internal/external stakeholders.

Location: Must be in Colombia – Remote.

Environment: Colombian and International Teams.

Language: Advanced English (B2+ - C1).

Timezone: Monday to Friday – 8:00 AM – 5:00 PM MST.

Contract: Non-fixed Term Colombian Contract.

Requirements:

  • Education: Bachelor’s degree preferred (Business Administration, Communications, or related field is a plus).
  • Experience: 3+ years of experience as a Virtual Assistant, Executive Assistant, or in a similar role supporting senior leadership or C-level executives.
  • Skills:
  1. Strong proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides).
  2. Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  3. Excellent written and verbal English communication skills.
  4. Experience coordinating across multiple time zones.
  5. Strong research and documentation skills.
  6. Familiarity with project management tools (Asana, Jira, or similar).
  7. Confluence is preferred but not required.
  • Characteristics:

Preferred Qualifications:  

  • Familiarity with project management tools (e.g., Asana, Jira, or similar). 
  • Experience working with a remote team and across time zones.  
  • Background in supporting C-level executives. 
  • Confluence is a preferred vs a required skill

Responsibilities:

  • Manage the CEO’s calendar, schedule meetings, and coordinate appointments across multiple time zones.  
  • Handle email correspondence, prioritize messages, and draft email responses on behalf of the CEO.  
  • Prepare, organize, and distribute documents, presentations, and reports using Google Workspace and Microsoft Office tools.  
  • Conduct research and provide concise summaries to assist the CEO in decision-making.  
  • Coordinate virtual meetings, including preparing agendas, taking detailed notes, and following up on action items.  
  • Maintain organized digital files and ensure timely retrieval of information.  
  • Act as a liaison between the CEO and internal/external stakeholders.  
  • Assist with personal administrative tasks
