Job Summary
We are looking for individuals to join our client’s team as Assistant Coordinating Manager. Under general supervision of the Director of Nursing or designee, is responsible for performing detailed clerical functions required to maintain the automated operating room scheduling system of Perioperative Services. Responsibilities include entering and updating data, as well as monitoring, verifying, confirming and distributing final schedules. Considerable contact with staff from clinical and surgical services and with residents and outside physicians.
Job Description
- Schedule cases according to protocols for those requiring special needs such as latex sensitivity or special equipment.
- Responsible for the timely and accurate production of the daily operating room schedule for both facilities.
- Assist in the maintenance of the scheduling system.
- Assists in the timely and accurate production of operative volume reports on a weekly/monthly basis as necessary for administrative and clerical staff.
- Works collaboratively with the information technology department to resolve issues identified with the scheduling system.
- Reviews future request for surgeries and maintain an ongoing schedule of surgeries and procedures as outlined
- Ensures that special equipment and supplies are documented in the appropriate fields to provide visibility for the operating room /procedural staff.
- Works collaboratively with internal and external clerical staff and nursing personnel.
- Verifies that authorizations and patient optimization/clearances have been obtained prior to closing the surgical schedule.
- Schedules procedures in accordance with outline block schedule and releases to ensure their availability for required surgeries.
- Review preliminary schedule with Director of Nursing of designee, prior to finalizing the schedule.
- Review order of procedure with provider team to ensure that cases are scheduled in the appropriate order.
- Print preliminary and final schedules for operating rooms daily, forwards final schedule to departments identified, and makes copies and distributes as appropriate.
- Use computer applications or other automated systems such as spreadsheets, word processing, calendar, e-mail and database software in performing work assignments.
- Accesses protected health information (PHI) in accordance with departmental assignments and guidelines defining levels of access (i.e. incidental vs. extensive).
- Responsible for proper filing of physician’s delineation /privileges in the operating room/procedural area, inputting information and keeping information up-to date in the scheduling system.
