Payroll & Staff Accountant Specialist (Hybrid)
Location: Windham, NH (Hybrid)
Compensation: $70,000
We are seeking a detail-oriented and organized Accounting Specialist to join our finance team. This role will focus on managing accounts payable, accounts receivable, payroll processing, and administrative duties. The ideal candidate will have experience in financial reconciliations, payroll tax management, and employee expense tracking, with the ability to ensure accuracy and compliance across multiple accounting functions.
Key Responsibilities
Accounts Payable
- Onboarding of Corp-to-Corp vendors
- Process Corp-to-Corp assignments invoicing and payments.
- Manage and reconcile expense reports, including field-based submissions.
- Reconciliation of Corp-to-Corp invoicing
Accounts Receivable
- Handle customer invoicing and ensure timely payment collection.
- Prepare and distribute statements and manage collections.
- Prepare and maintain weekly billing worksheets.
- Record and reconcile unbilled, deferred, and revenue journal entries.
Payroll
- Tracking of employee timecards and expenses.
- Timely processing of bi-weekly home and field employee payrolls, as well as weekly payrolls.
- Validation of payroll journal entries to ensure proper coding to general ledger and departments.
- Maintain schedule of employee supplemental payments
- Calculate and reconcile payroll related accruals.
- Oversee payroll tax management and compliance.
- Prepares commission payouts and calculates quarterly incentives and bonuses.
- Reconcile benefits invoicing.
- Assistance with worker’s compensation audits
- Assists in the preparation of routine specialized reports and prepares payroll reports as required for local, state and federal agencies.
- Interpret accounting and payroll guidelines, regulations, policies and procedures.
- Maintain confidentiality of payroll records
Administrative
- Manage incoming mail and ensure proper distribution.
Qualifications
- 5+ years of proven experience in accounting, payroll processing, and financial reconciliation.
- Strong knowledge of payroll, accounts payable and receivable processes.
- Proficiency in financial software and MS Office, particularly Excel.
- Strong attention to detail, accuracy, and organizational skills.
- Ability to work under tight deadlines and handle multiple priorities.
- Familiarity with Rippling and NetSuite is a plus
Preferred Skills
- Experience with journal entries and revenue recognition.
- Knowledge of benefits administration and reconciliation processes.
- Strong written & verbal communication skills - able to interface directly with clients & employees on billing & payroll related issues.
