Location: LATAM 

Schedule: 9:00 AM – 6:00 PM EST (Full time) 

 

About our client: Our client offers a wide range of mental health services, including individual, couples, and group therapy, as well as specialized counseling for addiction. Their therapists are trained in various evidence-based approaches, cognitive behavioral therapy (CBT), dialectical behavioral therapy (DBT), and internal family systems (IFS), ensuring accessible, high-quality care. 

 

 

Position Summary: 

The operations are responsible for streamlining administrative processes, organizing and implementing operational systems, and directly supporting the practice owner’s schedule. This role will play a key part in ensuring efficient internal processes and contributing to the growth of our practice through strategic and operational leadership.  

The ideal candidate is detail-oriented, proactive, and experienced in managing both people and processes, with a proven ability to drive business growth and improve patient experiences. 

 

 

Qualifications & Hard Skills 

  • Professional English Level (Must). 

  • Bachelor's degree in business administration, Healthcare Management, or related field. 

  • A minimum of 5 years of experience in operations management, preferably within the healthcare industry. 

  • Proven leadership and team management skills. 

  • Strong analytical and problem-solving abilities. 

  • Excellent organizational and time management skills. 

  • Previous experience working American Clients. 

 

 

 

Responsibilities 

 

  • Develop and execute operational strategies that align with the practice’s mission and growth objectives. 

  • Lead and manage administrative teams, providing guidance, support, and professional development opportunities. 

  • Assist in budget planning, financial reporting, and cost management initiatives. 

  • Utilize Monday.com and other tools to track client interactions and ensure a high standard of patient care. 

  • Leverage technology, including CRM systems like Monday.com, optimize workflow and process efficiency. 

  • Collaborate with the leadership team to identify opportunities for practice growth and business development. 

  • Directly manage and optimize the practice owner’s schedule, coordinating appointments, meetings, and engagements to maximize productivity. 

  • Organize and implement the HR manual and related processes to ensure smooth onboarding and off-boarding of clinicians.

Main Tools to manage for this position 

  • Microsoft Workspace: Outlook, Docs, Sheets, Slides, and Drive.  

  • Microsoft Office: Word, Excel.  

  • Hubstaff: Web and Desktop Apps, Hubstaff Tasks.  

  • Teams: Meetings, Categories and Channels.
