We are seeking a proactive and organized Office Assistant to support the daily operations of our office. This role combines general administrative duties with key office management functions, ensuring that the office runs smoothly, efficiently, and professionally.
Key Responsibilities:
Administrative Support:
- Manage incoming and outgoing correspondence (email, post, calls).
- Greet and assist visitors, ensuring a welcoming and professional environment.
- Schedule meetings, book conference rooms, and maintain calendars.
- Assist with travel arrangements and accommodation bookings for staff.
- Assist colleagues whenever necessary.
Office Management:
- Maintain office supplies inventory; place orders as needed and manage vendor relationships.
- Ensure that all office equipment is functioning properly; coordinate repairs and maintenance.
- Take care of regular groceries delivery (fruits and snacks for the office).
- Oversee cleanliness and organization of office space in coordination with cleaning staff or facility management.
- Support the onboarding process of new employees by preparing workstations and supplies.
- Implement and uphold company policies related to office procedures and health & safety standards.
- Act as a liaison between staff and building management (security, maintenance, etc.).
- Align with the office management global team on office related projects.
Requirements:
- One / two years of experience as an office assistant, administrative assistant, or in a similar role.
- Strong organizational and multitasking skills.
- Fluent in English.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to work independently and as part of a team.
- Discretion and confidentiality when handling sensitive information.
