Job Summary
We are seeking a detail-oriented and proactive Administrative Coordinator to support both logistics operations and entry-level finance functions. This role works closely with the Logistics Supervisor to ensure efficient inbound freight management and collaborates with the Finance team on day-to-day bookkeeping and accounting tasks.
Job Description
- Collaborate with the Logistics Manager to negotiate competitive freight costs while maintaining service standards.
- Monitor accepted freight loads and verify on-time delivery.
- Identify and schedule contract carriage for loads as needed.
- Review backhaul pickups for compliance with minimum revenue requirements.
- Audit freight bills for accuracy against carrier confirmations.
- Coordinate with Finance to process chargebacks for unshipped confirmed volumes from managed vendors.
- Generate period-end revenue reports.
- Compile and enter financial data into accounting systems, including journal entries and month-end accruals.
- Assist with account reconciliations and analysis.
- Support the preparation of monthly, quarterly, and annual financial reports.
- Ensure proper record retention of all accounting and logistics documents.
Skills Required
- 6–12 months of experience in accounting, administrative support, or a related field.
- Completion of accounting-related coursework is preferred
- 1–2 years of experience in accounting, bookkeeping, or administrative support in a logistics or finance environment is preferred
- Strong organizational skills and attention to detail.
- Basic knowledge of accounting principles.
- Proficient in Microsoft Office, especially Excel.
- Ability to work independently and manage multiple tasks simultaneously.
- Strong communication and coordination skills, particularly with cross-functional teams.
Education
- Highschool Diploma or GED
