Job Summary

The Equipment Administrator CSR is responsible for sourcing, managing, and tracking third-party equipment to support project needs. This role ensures timely procurement, accurate documentation, vendor performance evaluation, and effective coordination between project teams and procurement. The position plays a key role in maintaining operational efficiency and equipment availability across projects.

 

Job Description

  • Source and vet vendors to provide third-party equipment to projects
  • Maintain an approved/preferred vendor list
  • Assess vendor performance
  • Create requisitions and provide to Procurement within 48 hours of identified need, including communication to project teams; assess rentals with all applicable fees, taxes, and repair costs
  • Ensure requisitions are updated within 48 hours from project meetings or when changes impact rental durations
  • Provide timely feedback within 48 hours to project teams regarding sourced equipment
  • Manage downed equipment to resolution and follow up with the project within 24 hours
  • Ensure accurate and timely receipts are documented within the system of record for all rentals and repairs
  • Perform monthly checks of vendor statements against processed invoices
  • Coordinate updates to facilitate closure of purchase orders (POs) in line with Equipment Department processes
  • Maintain a safe working environment
  • All other duties as assigned

 

Skills Required

  • Minimum of 2 years of applicable equipment management experience
  • Excellent written and verbal communication skills
  • Strong attention to detail, organization, facilitation, team building, collaboration, and problem-solving skills
  • Proficient in computer applications (e.g., Microsoft Office Suite)

 

Education/Training/Certifications

  • High School diploma or equivalent required

 

Additional Requirements

  • Work may be performed in office settings or construction job sites, including commercial and heavy industrial environments with exposure to adverse climates
  • Requires extensive walking, stair climbing, navigating active construction areas, and use of temporary/permanent ladders
  • Ability to lift or move objects up to 50 pounds occasionally
  • Must be able to sit, stand, walk, climb, balance, stoop, kneel, crouch, crawl, and bend
  • Vision requirements include close vision, peripheral vision, depth perception, and the ability to adjust focus
  • Must be able to hear and interpret sounds effectively
  • Ability to safely operate motor vehicles
  • May require working in confined spaces or at heights using respirators, self-contained breathing apparatus, and/or fall protection
  • Projects may require long hours, occasional night shifts, and extended periods of consecutive workdays
