Job Summary

The HR Administrator provides high-level administrative support across Human Resources, Accounting/Invoicing, and Recruiting to ensure efficient internal operations, regulatory compliance, and a positive employee experience. This role requires a detail-oriented professional with 2–5 years of experience who can manage sensitive HR and payroll processes, support recruiting activities, track compliance, and collaborate across multiple departments in a fast-paced, on-site environment.

 

Job Description

  • Human Resources Administration
    • Manage the full onboarding and offboarding cycle, including checklists, communication, scheduling, pre-employment requirements (DISA drug screens, graded background checks), system entry, orientations, termination checklists, and COBRA processing.
    • Administer DISA compliance, including monthly random drug testing, audits, NABSC updates, bi-weekly invoice approvals, and maintaining background/drug test tracking spreadsheets for technically staffed employees.
    • Oversee benefits administration, including enrollments, terminations, monthly updates, employee inquiries, EOI monitoring, and Open Enrollment support.
    • Administer leave programs, including FMLA eligibility and documentation, as well as STD/LTD benefits support.
    • Manage regulatory and compliance activities, including TWC claims, garnishments, EEOC reporting, and maintenance of required HR documentation.
    • Support payroll-related processes, including employee inquiries, W-4 and direct deposit changes, and accurate data maintenance in HR systems (SMS fields including DL, PE, TWIC, addresses, etc.).
    • Maintain employee records, HR files, VOEs, tuition reimbursement requests, insurance forms, and compliance tracking spreadsheets.
    • Coordinate safety training and support HR and safety-related initiatives as needed.
  • Accounting & Invoicing Support
    • Prepare and submit weekly, monthly technically staffed, and home office invoices, including printing and tracking timesheets, organizing signed documentation, and maintaining digital records by employee.
    • Coordinate with staff and clients to compile required reports, including TRACK, Vindly, Reconciliation Reports, and Billing Summary Reports.
    • Submit invoices via email or third-party portals and complete off-cycle invoice requests as needed.
  • Recruiting Support
    • Sort and organize incoming resumes, maintain candidate files, and assist with recruiting processes.

 

Skills Required

  • 2-3 years of experience in administrative, HR, accounting, or similar operational roles.
  • Exceptional organizational skills with the ability to manage multiple priorities.
  • Strong communication skills and a high degree of professionalism.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with HRIS, benefits platforms, or invoicing software is a plus.
  • Ability to maintain confidentiality and work independently with minimal supervision.

 

Education/Training/Certifications
