• Manage meeting planning elements for a variety of internal clients as directed by Event Management Head or Lead Meeting & Event Planner • Manage and coordinate multiple and concurrent meeting projects for one or more key clients • Manage meeting/event within budget with emphasis on cost savings • Develop supplier contracts as directed by the Event Management Head or Lead Meeting & Event Planner • Conduct initial informational meetings with the client to ascertain the purpose, who the audience is, and overall objective and requirements for the meeting • Provide a high level of customer service by being responsive and proactive to the client’s needs • Manage the logistical planning of the meeting by identifying the client’s needs and creating an implementation plan to include: meeting setup, creative and fiscally responsible solutions, registration requirements, meeting setup, audio visual requirements, technology requirements, food and beverage requirements • Exhibit fiscal management by negotiating on behalf of the client, maintain and analyze meeting budgets, manage the room block to avoid attrition, and produce meeting closeout summary reports • Continuous follow-up and follow through on all details of meetings/events • Maintain industry relationships and industry knowledge by meeting with hotel representatives, attending industry events, attending educational conferences, conducting site inspections, and staying current on industry Web sites and periodicals • Ongoing communication within client Crop Science on meeting technologies advancements and process streamlining efforts
Secondary responsibilities include:
• Periodic departmental communications • Accountability of spend to client Crop Science client • Accounting responsibilities to include Meeting Card justification, contract transmittal to procurement and law, processing of invoices, accounting record maintenance through department reporting tool • Serve as liaison with off-site vendors
Qualifications:
• 5 years of dedicated meeting and event planning experience is required • Bachelor degree preferred, hospitality focus is a plus • Certified Meeting Professional designation or ability to certify is preferred • Good working knowledge of various software programs such as Excel, Word, PowerPoint and Outlook, Cvent • Willingness to learn new software programs as needed • Strong verbal and written communications skills • Detail-oriented with a strong willingness to learn • Excellent time-management skills and organizational ability • Ability to simultaneously handle multiple tasks and projects • Ability to work well under tight deadlines with constantly changing requirements • Strong analytical skills to aid in problem-resolution • A friendly customer-service attitude is required and necessary for success in this role
