Job Summary

Seeking Executive Assistant role with proven experience in providing comprehensive administrative support to senior management. Proficient in organization, communication, and office management, with a keen eye for detail and proficiency in Microsoft Office Suite and SAP.

 

Job Description

  • An executive assistant is a critical role within our organization, and the successful candidate must possess a high level of professionalism, strong interpersonal skills, and the ability to work effectively with a wide range of stakeholders.
  • The executive assistant is a skilled administrative professional who provides support to the CEO and the management team.
  • The role requires strong organizational and communication skills, attention to detail, and discretion.
  • Provides secretarial assistance to the CEO and Management team.
  • Manages executive calendars and schedules, including arranging meetings, appointments, and travel itineraries.
  • Coordinates travel arrangements, including flights, hotels, and ground transportation for the CEO and the management team.
  • Prepares expense reports and correspondence as needed.
  • Provides support with regards to traceability of correspondence and communications by managing both electronic and paper filing systems, ensuring compliance with all applicable record-keeping requirements.
  • Provides office management assistance, making sure that everything is in place for the office to function smoothly.
  • Coordinates and maintains department office supplies and equipment.
  • Maintains and updates databases, spreadsheets, and other records as required.
  • Collaborates with other staff functions to support the needs of the executive team.
  • Handles confidential and sensitive information with discretion and professionalism.

 

Skills Required

  • Proven experience as an executive assistant or in a similar role.
  • Native or full professional proficiency of spoken and written English.
  • Excellent communication skills and the professional confidence necessary to work effectively with senior management Strong organizational and planning skills.
  • Full proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Ability to handle multiple tasks simultaneously and seamlessly, with attention to detail and consistently meeting deadlines.
  • Diligent, highly organized, reliable and efficient.
  • Paying attention to detail is essential in ensuring that everything is accurate and correct. You should have a keen eye for detail to ensure that all documents, reports, and communications are error-free.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to proactively take on tasks and willingness to learn new skills.
  • Knowledge of SAP.
  • Knowledge of Spanish.
  • Knowledge of French.
  • Knowledge of Graphic Design software like Photoshop, Illustrator or InDesign.
  • Experience in event management.
  • Flexibility to work outside normal business hours as needed.
  • 3 to 5 years’ experience.

Pay Rate/Salary

  • Base Compensation: $64,000/yr - $71,000/yr (Actual compensation is subject to variation due to such factors as education, experience, skillset, and/or location.)
