Job Summary
The Engineering Document Control Specialist is responsible for managing and maintaining engineering and project documentation within structured document management systems. This role ensures accurate control of records, supports audit readiness, and enhances workflow efficiency across engineering, operations, and maintenance teams. The position requires strong technical documentation knowledge, advanced SharePoint and Excel skills, and the ability to interpret engineering drawings.
Job Description
- Manage and control engineering and project records within the AIM SDx Document Management System
- Conduct drawing research and assist users with documentation applications
- Maintain and administer SharePoint sites, including libraries, lists, forms, workflows, permissions, and metadata
- Build and maintain structured document repositories for engineering, operations, and maintenance teams
- Oversee the full document lifecycle including creation, revisions, redlines, approvals, and archival
- Review and interpret engineering drawings such as P&IDs, equipment files, specifications, and mechanical packages
- Ensure compliance with MOC and site document-control standards
- Utilize advanced Excel tools (VLOOKUP/XLOOKUP, pivot tables, formulas, data validation) for tracking and reporting
- Leverage Microsoft Copilot and AI tools to streamline and enhance workflow efficiency
- Support audit readiness and assist with QA/QC verification processes
- Coordinate workflow and task tracking using Asana
Skills Required
- Strong SharePoint experience, including custom lists, metadata structures, permissions, and forms
- Advanced Excel capabilities including VLOOKUP/XLOOKUP, pivot tables, formulas, and data validation
- Experience in engineering or industrial document-control environments
- Ability to understand engineering terminology and interpret technical drawings
- Strong organizational and analytical skills
- Experience using Asana for workflow coordination or task tracking
- Experience supporting capital projects or operations/maintenance teams
- Understanding of structured document governance and compliance processes
Education/Training/Certifications
- High School Diploma or GED
Pay Rate/Salary
- Pay Rate $38 - $45/ hr (Actual compensation is subject to variation due to such factors as education, experience, skillset, and/or location)
