Job Summary

Our client is looking for Administrative Assistant supports operations, manufacturing and engineering staff. Who performs a wide variety of complex tasks requiring initiative, discretion and independent judgment. Qualified candidates must be able to apply organizational and communication skills handling a wide variety of duties and possess a sense of urgency and dedication to meet deadlines. The successful candidate must have the ability to work in a fast paced, collaborative environment.

 

Job Description

  • Conduct day to day activities that support the Operations Departments
  • Update and maintain information in the EH&S database and other Access databases.
  • Manage and update all operational reports, control documents procedure books, OM&M books.
  • Process and update incoming drawing manuals, QRO manual edits
  • Compose, edit, and proofread written documents (routine letters, business correspondence and reports of varying complexity)
  • Monitor supply room, order office supplies, maintain office equipment
  • Coordinate and schedule meetings, events, conferences and appointments
  • Update and maintain department level shared files
  • Liaise with internal staff at all levels
  • Other duties as assigned

 

Skills Required

  • have data entry experience and excel experience. 
  • Detail oriented and highly organized
  • Ability to maintain strict confidentiality of all information
  • Highly proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Access and Outlook)
  • Ability to convert ideas and concepts to presentation materials
  • Ability to draft correspondence with minimal direction and oversight
  • Clear understanding and adherence to ethical principles, company values, code of conduct and policies
  • Works well independently; action oriented; self-starter, with an assertive approach to solving problems
  • Ability to meet deadlines
  • Good analytical skills; able to prioritize and multitask while remaining calm and composed
  • Consistently demonstrates sound judgment in working with global, multi-cultural personnel
  • Good communications, interpersonal and collaboration skills, and the ability to work w/other supporting functions (hr., legal, audit, etc.)


Education/Training/Certifications

  • Highschool Diploma or GED

 

Additional Requirements

  • fast-paced environment
  • Shift Schedule: Monday to Friday flexible hours 8am - 5pm/ 7am - 4pm/ 9am -5:30pm
