Job Summary
The Field Document Controller is responsible for managing, organizing, and maintaining all project documentation to ensure accuracy and compliance throughout the project lifecycle. This role oversees controlled documents, supports the project team with InEight systems, and ensures timely updates, audits, and distribution of critical project materials
Job Description
- Ensures all Controlled Documents are available to project personnel and are the most recent revision.
- Uploads incoming transmittals and documentation to the InEight Document within 24 hours of receipt.
- Responsible for maintaining InEight Document and filing project documentation (drawings, specs, standards, RFIs, Work Packages, Submittals, etc.).
- Provides InEight Document and SharePoint support to the project team when needed.
- Creates a digital copy of Work Packages in InEight Document and updates the responsible FEs of any document changes to Work Packages.
- Physically recalls and updates Controlled Documents within Work Packs and Controlled Sets.
- Periodically audits Work Packs and Controlled Sets for accuracy and ensures no uncontrolled documents have been given to field.
- Closes Work Packs in InEight Document when work has been completed. Field Document Control will maintain hard copies of completed Work Packs until project completion.
- Updates and sends RFIs based on project RFI procedure. Ensures RFIs in the Forms Module of InEight Document are up to date throughout the course of the job.
- Sends submittals to all requested and logs information into InEight Document. Submittals will be logged in the Forms Module of InEight Document.
- Documents sent via Submittal will be logged in the Document Register for reference.
- Audits the Document Control process to ensure it is being followed and reports discrepancies to the FE for resolution.
- Works with Client Document Control or designee in regular audits of project drawing lists and requests any missing documentation.
- Adds information in the project mailbox to the InEight Document Mail module throughout the job.
- May perform other administrative tasks as required by the project team.
- Meets established standards for productivity and quality. Confers with supervisor when problems arise that might impact expected performance.
Skills Required
- Experience working in admin and/or document control within the construction industry.
- Strong working knowledge of MS Excel.
- Familiarity with document control tools and software (InEight/TeamBinder preferred).
- Must possess an aptitude to lead and collaborate with others.
- Ability to use appropriate tools and methods to collect and analyze data to identify and resolve business and/or technical problems.
- Excellent communications skills, both verbal and written.
- Highly motivated, with a demonstrated passion for excellence and taking initiative.
- Demonstrated commitment to business ethics and integrity.
- Team player with the ability to lead others or work independently, as required, to meet deadlines, goals, and objectives.
- Strong organizational skills, time management, and attention to detail.
- Comfortable working within a fast-moving work environment, pressure, change, and ambiguity.
Education/Training/Certifications
- High School degree or GED
Pay Rate/Salary
- Pay: $20/hr (Actual compensation is subject to variation due to such factors as education, experience, skillset, and/or location.)
