Job Summary

The Document Control Administrator is responsible for maintaining, organizing, and updating company document records and ensuring the timely, accurate processing of all project deliverables. This role serves as a key interface between internal teams, clients, and vendors, ensuring documentation flows efficiently, securely, and in compliance with company standards and contractual requirements.

 

Job Description

  • Deliver project documentation to field or plant operations on time and in accordance with company standards.
  • Ensure safe, accurate, and timely delivery of documentation to internal and external stakeholders.
  • Manage the flow of correspondence into and out of the organization through proper transmittals.
  • Review and verify project documents for completeness, formatting, and compliance with contractual requirements.
  • Ensure all outgoing documents are accurate, compliant with company standards and policies, and routed to the correct recipients.
  • Protect and secure confidential and proprietary information.
  • Develop and maintain strong internal and external customer relationships to gather service quality feedback and implement improvement strategies.
  • Lead continuous improvement initiatives related to documentation authoring, standards, methodologies, business systems, and publishing tools.
  • Develop, sustain, and support required documentation systems, related business processes, and training materials.
  • Train and support project participants in the use of document control tools and systems.

 

Skills Required

  • Minimum: 2 years of experience in project document control management.
  • Preferred: 3–5 years of document control experience within engineering, manufacturing, construction, or oilfield services environments.
  • Strong attention to detail (mandatory).
  • Spanish language proficiency.
  • Excellent organizational and time-management skills.
  • Ability to analyze data and draw accurate conclusions.
  • Ability to follow procedures with precision and consistency.
  • Strong proficiency in Microsoft Office, particularly Microsoft Excel.

Education

  • High School Diploma with at least 3 years of document control management experience.
  • Bachelor’s Degree in a related field such as Engineering, Business Administration, Information Management, Quality Assurance, Human Resources, or another process- or compliance-focused discipline.

 

Salary

  • $24 - $26 per hour(Compensation will be offered within this posted range based on experience, skills, and market factors)
