Job Summary

The Document Controller is responsible for managing and maintaining project documentation to ensure accuracy, accessibility, and compliance with company and industry standards. This role involves handling document transmittals, maintaining Construction Work Packages, updating revisions, and coordinating with internal teams and external partners. The ideal candidate is detail-oriented, organized, and proficient with document management systems such as SharePoint and InEight.

 

Job Description

  • Maintain records of incoming document transmittals and prepare outgoing transmittals.
  • Manage the document control inbox and processing requests.
  • Fulfill requests submitted for creating new Construction Work Packages by printing, stamping and binding documents/drawings.
  • Maintain, and assess hard copy Construction Work Packages throughout the lifecycle of the project.
  • Ensure all hard copy Construction Work Packages always include the latest revisions and are updated with new revisions of documents/drawings expeditiously.
  • Assist with the maintenance and assessment of client docs.
  • Ensure all documents are properly labeled and tracked.
  • Ensure compliance with all relevant regulations and standards.
  • Assist in training project team members on document control procedures and processes.
  • Collaborate with other departments to ensure proper document control coordination.
  • Ensure timely and accurate distribution of documents to all necessary parties.
  • Communicate with internal clients, partners and subcontractors to ensure compliance with document control procedures and processes.
  • Maintain project specific logs.
  • Provide project reports to management, subcontractors, and clients when required.
  • Perform other duties as assigned.

 

Skills Required

  • Experience in document control, preferably in a regulated industry (e.g., nuclear, pharmaceutical, aerospace).
  • Highly motivated, with a demonstrated passion for excellence and taking initiative.
  • Excellent attention to detail and organizational skills.
  • Ability to multi-task, problem solve and work collaboratively.
  • Ability to keep up with fast-paced atmosphere and understanding of how to prioritize work based on business needs.
  • Strong understanding of document management systems (e.g., SharePoint, InEight).
  • Must have a solid technical aptitude for many software applications and learn new software effortlessly.
  • Strong communication and interpersonal skills.
  • Knowledge of SharePoint and InEight software is a plus!

 

Education/Training/Certifications

  • High School Degree or GED

Pay Rate/Salary

  • Pay Rate $27-$29 / hr (Actual compensation is subject to variation due to such factors as education, experience, skillset, and/or location)
