Job Summary

This role provides operational and administrative support across corporate and field locations, focusing on user setup, coordination with service vendors, and training assistance. It ensures smooth processes for document management, shipping services, conference center operations, and supply chain approvals. The position also handles invoice processing and supports internal departments with various facility-related tasks.

 

Job Description

  • Support Iron Mountain Connect by setting up users, providing training, and assisting corporate and field teams; prepare reports as needed.
  • Collaborate with the Legal department on training employees in record-keeping, best practices, and record destruction procedures.
  • Coordinate with Iron Mountain for offsite storage, document destruction, and shredding services for corporate and field.
  • Coordinate Texas Shredding Services for shredding needs when requested.
  • Support FedEx by assisting with new account setup for corporate and field.
  • Support UPS with new account setups for corporate and field.
  • Support Office Depot by setting up new users and assisting current users with restricted item approvals.
  • Support the conference center (Level 23) by setting up new users, providing training, and approving meeting reservations for conference room 22.001.
  • Collaborate with Supply Chain Management for Amazon Business restricted item approvals.
  • Work with the Mail Services Manager on monthly expense reports and office supply purchases for corporate and field.
  • Process invoices for Corporate Outfitters, Pioneer, Office Depot, Pitney Bowes, Iron Mountain, Community Coffee, Texas Shredding, and Deliver Houston.
  • Support the Senior Facility Coordinator as backup.
  • Perform other duties as assigned.

Education/Training/Certifications

  • High School Degree or GED
