Job Summary

If you're interested in an Expert Level Document Management Specialist job, then this is the best role for you! The Document Management Specialist is responsible for maintaining and administering the operating plant's Process Safety Information (PSI). This includes managing controlled documents in the Process Management File, coordinating Management of Change (MOC) processes, and supporting compliance audits and PHAs. The role requires collaboration with plant personnel, engineers, and leadership to ensure accurate documentation, compliance, and effective tracking of changes and audit recommendations.

 

Job Description

  • Maintain controlled documents for area of responsibility in compliance with the site document control procedure.
  • Maintain the Master Document List (MDL) and manage document reviews, including annual SOP certification and Section 1 approval.
  • Maintain the Process Management File (PMF) by filing new equipment information and removing obsolete information.
  • Maintain equipment information in external databases (e.g., relief devices).
  • Maintain printed/controlled copies of EFDs, Drawings, and Emergency Procedures.
  • Coordinate Management of Change (MOC) activities, including:
    • Maintaining the MOC Log.
    • Tracking Change Request progress and publishing periodic reports.
    • Managing personnel training/acknowledgment for Change Requests.
    • Composing/tracking drafting requests (EFDs, Loop Diagrams, etc.).
    • Updating PMF per Change Requests and issuing monthly reports.
    • Managing final review meetings, gathering approvals, and issuing reports.
  • Participate in plant compliance audits and PHAs.
  • Support audit preparation and provide documentation support during audits/PHAs.
  • Manage tracking systems for audit and PHA recommendations and issue monthly reports to leadership.
  • Crosstrain on other Document Management Specialist roles to provide backup coverage.
  • Regular collaboration with Plant Manager, Production Technicians, Operations Specialists, Training Specialist, Area Safety Coordinators, Engineers, Maintenance (Mechanical/E&I), and other Document Management Specialists.

 

Skills Required

  • 7+ years of experience.
  • Capability to stand for extended periods (4–6 hours).
  • Proficiency in performing repetitive tasks with hands, wrists, and arms.
  • Attention to detail and ability to follow instructions accurately.
  • Strong teamwork and adaptability to shifting lab tasks.
  • Ability to work independently and collaboratively with engineers, operations, maintenance, and leadership.
  • Must be able to work in a manufacturing plant environment, including ascending/descending stairs and ladders.

 

Additional Requirements

  • Must pass a drug screening and criminal background check
  • Shift Hours: 08:00 AM

 

Pay Rate/Salary

  • Estimated Salary: $22.50 to $30.50 per hour based on qualifications.
