Job Description 

  • Provide administrative support to managers and assist with projects or back-up support to other administrative assistants.
  • Coordinate and arrange meetings including agenda preparation, meeting invitations, reserving, and preparing facilities and resources, and arranging offsite meetings as requested.
  • Arrange and coordinate travel schedules and reservations.
  • Maintain a working knowledge of standard software/technology.
  • Assist and/or arrange conference calls.
  • Copy and distribute correspondence or other printed materials.
  • Greet scheduled visitors and direct them to the appropriate area or person.
  • Assist managers with planning and scheduling of activities.
  • Job location is on Keawe St. Lahaina, HI.

 

Skills Required

  • Coordinating and managing travel and logistics for frequent travel for around 65 employees
  • Interfacing with hotels and other rental properties
  • Reconciling travel employee travel expenses
  • Work with rental car companies for vehicles needed for employees
  • Assist with employee hiring and onboarding
  • Management of project and employee files
  • Reception duties for the office
    • Scheduling meeting spaces
    • Ordering supplies
    • FedEx and Mailing
    • Coordinating janitorial services
  • Assist with weekly business processes such as payroll and accounts payable
  • Manage tracking sheets of cost activities as needed.

 

Education/Training/Certifications

  • High School Degree or GED
